Service Department - Workload Planner

Overview

We are seeking a skilled and detail-oriented Workload Planner to join the office-side portion of our service team.

The ideal candidate has at least 5-10 years of experience in the HVAC field and takes pride in delivering quality results while taking superior care of clients. It is perfect for someone who has had the work experience as a licensed technician, yet has the organization and management skills to switch to an office role. This role includes answering incoming calls, placing outgoing calls to clients, and coordinating and scheduling jobs onto service technicians.

Responsibilities

· Answer incoming calls & place outgoing calls to existing clients

· Assess clients’ needs and respond accordingly (i.e., are they looking for maintenance, service, a quote, help with making a payment, etc.)

· Actively maintain clients’ files – ensure all information is accurate and up to date (job contact, billing contact, etc.)

· Schedule work for technicians using our work order software – strategize workload planning based on technicians’ experience and/or specialties

· Adhere to proper procedures in the use of the work order software

· Attend meetings with office team and/or service team

· Follow through on resolving clients’ issues or job complications

Qualifications

· Bilingual (English/French) – required

· G2 Gas Technician License (G1 or 313A is an asset) – you will not be working in the field, yet your prior field experience will allow you to understand the scope of each job and how to distribute work appropriately

· Excellent HVAC & mechanical knowledge

· Ability to represent Advanced HVAC in a professional manner with customers, vendors, team, and the general public
